Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact forms

Contact forms are available on most pages of this website and these are accessed via Contact Us buttons or entire embedded forms.  These are provided so that you can contact us with ease via a secure third-party system which logs every contact with a unique ticket number.  If you contact us in this way your name, email address and message that you enter will be added to the ticket.  Tickets are retained indefinitely in order to provide an audit trail, should any future reference be necessary.

Subscription forms

Subscription forms are provided on parts of this website either as embedded forms or pop-up forms.  These are provided so that you can join our email database and receive the information specified on each specific form.

Subscription forms collect the data we need in order to provide you with the information you are requesting, such as your name and email address.

We usually utilise a double opt-in process, to ensure that only the owner of the email address is the person supplying their personal data.  Therefore, a confirmation email is sent and has to be responded to before you are added to our database.  This is to protect you from malicious use of your email address by another party and to provide us with confirmation that only you have supplied your personal data.

Some subscription forms, database management and data processing services are provided by WebinarJam, our online seminar provider, who are responsible for their own privacy policy which may be viewed at https://home.webinarjam.com/privacypolicy

Other subscription forms are provided by Sendy, a software product that utilises Amazon Web Services (AWS) to deliver email via Amazon's SES service.  Sendy is hosted by VPSFix whose privacy policy may be viewed at https://vpsfix.com/privacy-policy/  The AWS privacy policy may be viewed at https://aws.amazon.com/privacy/  The AWS servers being used are located in Oregon, USA and Ireland.

In addition to the data specified above, WebinarJam and AWS also collect other data such you’re your IP address, geo location, browser, operating system and hardware details.  This is to provide both them and us with documentary evidence of your decision to join our email database.

Every email we send contains an unsubscribe link in the footer which you may use at any time to remove your contact details from any email list hosted by WebinarJam, Sendy or Amazon Web Services on our behalf.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

How we protect your data

Our website has security measures in place to protect the loss, misuse and alteration of the information under our control.

We employ strict security measures to safeguard online transmission of data.  Your personal data is sent via an encrypted internet channel (HTTPS).

Our server resides in a secure datacentre which is staffed 24/7/365 and monitored constantly. Backups of all data are made daily, weekly and monthly and we can restore at any time from the most recent version of each, should that ever become necessary.

What data breach procedures we have in place

Our server is monitored 24/7/365 by highly skilled and knowledgeable staff.  Should any breach occur they are able to notify us within a matter of minutes.

Our email database resides with our email service provider and is therefore insulated from any breach of our webserver and thereby provides us with the ability to notify those affected, irrespective of any lockdown or quarantine procedures underway with the server.
